I downgraded my subscription plan - what happens?

Account Downgrades in Band Pencil

When downgrading your Band Pencil account, certain features will no longer be accessible. However, rest assured that your data will remain intact and will be available again if you choose to upgrade in the future. Before downgrading, it’s crucial to review which features will be affected. Please note that the information below is accurate as of the last update date shown.

Prorations

If you change your subscription plan mid-cycle—whether upgrading or downgrading—prorations ensure you only pay for what you use. For example, if you upgrade halfway through the month, we'll apply credit for the unused time on your previous plan, and adjust charges for the new plan accordingly.

Any credits from these changes are applied to future bills for simplicity. However, if you prefer a direct refund of the credited amount, simply contact our support team, and we’ll help you out. We strive to ensure your billing is always fair and transparent, no matter how your subscription changes.

Feature Access Changes

Here's what happens to specific features when you downgrade:

  • Multiple Users: You will need to reduce the number of users to match the limit of your new plan. Any users beyond this limit may lose access immediately. Please note, as per our terms, a login may only be used by one person, a single login shared by multiple people is not permitted.

  • Auto Book Members: If this feature is no longer available, it will be deactivated, and you will need to delete any pending members.

  • Performer Contracts: Members won't be able to view or sign contracts on the Member Portal, and you won't be able to manage performer contracts.

  • Scheduled Emails: Scheduled emails will be frozen, not deleted. You'll be prompted to either delete or send them, but you will no longer have access to view scheduled emails from the outbox.

  • Track Referral Sources: Referral data will be kept, but you will lose the ability to view, add, or edit referral sources.

  • Band Pencil Pay: Clients will lose the ability to make payments through Band Pencil.

  • Custom Branding: Custom branding will revert to Band Pencil's default branding.

  • Online Forms: Your forms and responses won't be deleted, but you will lose the ability to view or edit them, and clients won’t be able to submit responses.

  • Integrations: While the connection to your integrations will remain active temporarily, Band Pencil will stop sending or allowing data transfer. Once the connection expires, you will not be able to reconnect.
