Band Pencil can automatically assign sequential invoice and quote numbers, making it easier to keep your documents organised and ensuring every document has a unique reference.
Enabling Automatic Numbering
Go to:
Settings → Platform Options
You'll see the following options:
- Auto-generate sequential invoice numbers
- Invoice number prefix
- Auto-generate sequential quote numbers
- Quote number prefix
Simply enable automatic numbering and optionally enter a prefix.
Using a Prefix
The prefix is added before the sequential number and can contain letters, numbers or symbols (up to 10 characters). For example:

The prefix is optional. If left blank, only the sequential number is shown.
How Numbering Works
Band Pencil keeps a separate counter for invoices and quotes. Each time you create a new invoice or quote, the next available number is automatically assigned. For example:

Invoice and quote numbering are completely independent, so invoices and quotes each have their own sequence.
Leading Zeros
To keep document numbers consistent and easy to read, Band Pencil automatically adds leading zeros where required. Examples:

Existing Accounts
When you enable automatic numbering for the first time, Band Pencil starts from your current document count so that new documents continue the sequence. For example, if you already have 32 invoices, the next invoice created will be: 033 (or INV-033 if you have configured the prefix INV-).
Editing Invoice & Quote Numbers
Automatically generated numbers can still be edited if required. However, we recommend keeping the numbering sequence intact wherever possible for consistency and easier record keeping.
