An invoice summary is a downloadable PDF that compiles all invoices for a specific client across multiple events. While Band Pencil generates invoices on a per-event basis, the summary provides a single view of every invoice linked to a client for the select events, perfect for keeping track of overall billing, sharing with finance teams, or keeping records for tax purposes.
When to Use It
Use an invoice summary if:
- A client has booked you for multiple events (e.g. wedding and follow-up party).
- You want to send a full billing overview to the client.
- You need a consolidated record for internal use or accounting.
How to Download an Invoice Summary
To get a summary PDF:
- Go to the client’s profile in Band Pencil.
- Click the dropdown menu in the top-right corner (next to Edit Client).
- Select Download Invoice Summary.
- The PDF will download immediately to your device.
Please Note: The summary won’t be saved in Band Pencil, so if you're going to need it in the future, keep a copy, or export it again. Clients can’t pay from the summary online, payments must be made on individual event invoices.
What’s Included
The invoice summary includes:
- A cover page with your business details and summary totals.
- A breakdown of each event, including:
- Event name and date
- One or more invoices per event (if applicable)
- Subtotal, VAT, and total for each invoice
- A final summary with total number of events, number of invoices, and overall financial totals.
