What's included in the band booking spreadsheet?

The spreadsheet is designed around the information you actually need when managing gigs.

For each booking, you can keep track of:

Who is the spreadsheet for?

We built the tracker primarily for bands and musicians managing their own bookings, but it can work for almost any type of performer. That includes wedding and function bands, cover bands, DJs, solo musicians, duos, tribute acts, ensembles and other live performers.

If you're currently managing your gigs with a basic spreadsheet or don't have a system at all this gives you a useful starting point.

Keep track of every enquiry

Not every enquiry becomes a gig. That's why it's useful to record a booking before it's confirmed. When someone gets in touch, add the enquiry to your tracker and update its status as the booking progresses.

For example: Enquiry → TBC → Confirmed → Completed

This gives you a simple booking pipeline and reduces the chance of an enquiry disappearing into an email inbox or WhatsApp conversation. You can also see which dates are already being discussed before accepting another enquiry for the same day.

Track contracts and payments

A gig being in the diary doesn't necessarily mean the admin is finished.

You may still need to: Send the contract → collect the deposit → perform the gig → collect the remaining balance.

The spreadsheet lets you record the total fee, deposit and payments you've received. Your outstanding balance is then calculated automatically, making it easier to spot bookings where you're still waiting to be paid. You can also record whether the contract has been sent or signed.

When is it time to move beyond a spreadsheet?

For many bands, a spreadsheet is a perfectly good way to start organising gigs. And if you've only got a handful of bookings to manage, it may be all you need. The problems usually start as the band gets busier. One spreadsheet starts being accompanied by a calendar. Musician availability is happening in WhatsApp. Contracts are stored somewhere else. Invoices are PDFs. Client information is buried in emails. Set times are in the group chat. Someone changes the venue address, but not everyone gets the update.

Eventually the spreadsheet isn't really managing the band anymore it's just one part of the system you've built around it.
